Portland, Maine Wedding Photographer :: Workflow Series Part Four

workflow series, portland maine wedding photographer

This is my final post in my workflow series! Today’s post is all about managing clients from start to finish. I have created my own series of steps that I use to make sure that every client receives the same awesome service from myself. This will look different for every photographer and every business, depending on how you interact with your clients, and that’s okay! This may be helpful for some people who are still struggle with the ideas of creating workflows.

On my client workflow, I start from the very beginning (the point where they decide to book) and go all the way to after our time together has ended (after they’ve received their wedding album). I have a second set of client workflows that are not for wedding clients that follows this one pretty closely, but it is much shorter!

At the top of each workflow, I write down the client names and the date of their wedding, and I often write notes all over their section of the workflow so that I don’t forget any important details.

Once they have decided to book, I create their client portal on pixifi, and send that off to them to make everything official (such as their contract, invoice, and personal information).

Then my workflow is as follows:

  • Set time and date for engagement session
  • Session reminder e-mail including time and location
  • session takes place
  • organize photos
  • post FB sneaks
  • {secret}
  • edit & deliver photos
  • {secret}
  • six weeks prior to wedding, touch base about wedding day timeline
  • forward information to second shooter
  • day before wedding – prep gear
  • create folder on stage one
  • go to bed early and lay out clothes
  • wedding day
  • evening- edit one for FB
  • import RAW files
  • organize and deliver
  • put in wedding album order, and deliver

There it is! How I “manage” my clients from the very beginning until after the end of our relationship.

You can usually find me adding books to my never-ending “to read” list; challenging myself to do things like not shop for a year; sneaking crispy m+ms from my secret hiding spot so I don’t have to share them with my daughter; and melting over seeing my children smiling at each other.

Oh and I guess I should mention - I’m a seasoned Portland wedding photographer who provides not only kick-ass wedding photos, but also a meaningful and laid-back experience from the time you book to the delivery of your final images.

I share all things personal, business, tips, and life as a mom and business owner here on the blog!
